The audit log most lawyers will accept

Each acknowledgement records: who, when (UTC timestamp), from which IP, with what user agent (browser/device), against which version of the policy. The record is append-only — nobody can retroactively flip an ack to 'didn't acknowledge.' Export the audit log as CSV or PDF for legal review or compliance audits.

Acknowledgement, not signature theater

The acknowledgement is an authenticated click — the employee signs in with their credentials, sees the policy, clicks 'I have read and acknowledge.' Their identity is proven by the auth session; their consent is timestamped. Some companies need DocuSign-style e-signature for specific documents; for everyday policy compliance, the authenticated acknowledgement is what the labor regulators actually want.

Common questions about policy acknowledgement software

Is this a legal e-signature?

It's an authenticated acknowledgement: the employee logs in (proving identity), reads the policy, and clicks 'I have read and acknowledge.' That's typically what labor regulators (OSHA, EEOC, state DOLs) want as proof for handbook + harassment-policy compliance. For specific documents that legally require full e-signature (employment contracts, NDAs, separation agreements), most companies still use DocuSign or HelloSign — those tools do the legal-binding-signature side, CrewBase does the at-scale recurring acknowledgement side.

Can we re-acknowledge after the policy is updated?

Yes. Each policy campaign is versioned — when you publish a new version, you can launch a new campaign that captures fresh acknowledgements. The old version's acks stay in the audit log (so you can prove who agreed to which version) but the new campaign starts fresh. Annual handbook re-acknowledgement is a common workflow.

How do you handle employees who never acknowledge?

The dashboard shows you. Reminder emails go out automatically as the deadline approaches. After the deadline, the campaign shows 'overdue' status for the un-acked subset; you (HR/admin) decide the consequence — escalate to the manager, mandatory training, or whatever your policy says. We don't auto-discipline; we just provide the proof + visibility for you to act.

Does this work for safety policies in regulated industries?

It works for the acknowledgement record — which is what most safety policies need (proof employees were informed).
