These Terms of Service (the “Terms”) govern your use of CrewBase (the “Service”), a multi-tenant SaaS for employee request and approval workflows. By creating an account, inviting your team, or otherwise using CrewBase, you (the “Customer”) agree to these Terms.
1. Your account
When you create a workspace at crewbase.app/signup, the user who signs up becomes the workspace Owner. The Owner is responsible for who they invite, the roles they assign (Admin / Manager / Employee), and the data their team submits.
Each Owner may invite as many team members as their plan allows. The Owner is responsible for keeping login credentials confidential and for all activity that occurs under the workspace.
2. Acceptable use
You agree not to use CrewBase to:
- Violate any law or regulation in your jurisdiction or your customers'.
- Store data you don't have the right to store — for example, employee data without a lawful basis, or third-party confidential information you weren't authorized to share.
- Reverse-engineer, scrape, or attempt to extract source code, secrets, or other customers' data.
- Impersonate another person, send unsolicited bulk email, or use the Service to harass or harm anyone.
- Submit malware, exploits, or content designed to disrupt the Service.
We may suspend or terminate access if we reasonably believe you are violating these rules. We'll notify the Owner unless doing so would compromise an investigation or public safety.
3. Your data
You retain ownership of all data you submit to CrewBase (“Customer Data”). We process Customer Data solely to provide the Service and as described in our Privacy Policy.
We will not sell, rent, or use Customer Data to train machine-learning models. We will not access Customer Data except as needed to operate, secure, or troubleshoot the Service — and where we do, only authorized CrewBase staff with a documented need will do so.
4. Billing and cancellation
Paid plans are billed in advance, monthly or annually depending on the plan you select. Prices are listed at crewbase.app/#pricing and may change with 30 days' notice for new billing periods.
Cancellation. You may cancel your subscription at any time from your workspace settings or by contacting support@crewbase.app. Cancellation takes effect at the end of your current billing period — you keep full access through the end of what you've paid for.
No refunds. Fees you've already paid are non-refundable, including for unused time on your current billing period and for partial months. We don't prorate downgrades or refund mid-cycle cancellations. The exception is where a refund is required by law in your jurisdiction.
Failure to pay. If a payment fails and is not corrected within 14 days, we may suspend access to your workspace. Customer Data is retained for at least 30 days after suspension so you can export or restore it.
5. Service availability
We aim for high availability but do not guarantee uninterrupted Service. Maintenance windows, third-party outages (hosting, database, email), and force majeure events may cause downtime. We do not currently offer a contractual SLA on free or starter plans.
6. Intellectual property
CrewBase, including the Service's software, UI, and documentation, is our intellectual property. We grant you a non-exclusive, non-transferable license to use the Service while these Terms are in effect. You may not copy, modify, or redistribute the Service.
Customer Data remains yours. By submitting it, you grant us a limited license to process it as needed to operate the Service.
7. Termination
Either party may terminate the agreement at any time. You can cancel from settings or by emailing us. We may terminate for material breach of these Terms (most commonly: misuse under section 2 or non-payment). Upon termination, your access ends and Customer Data will be deleted in accordance with our retention policy described in the Privacy Policy.
8. Liability
The Service is provided “as is.” To the fullest extent permitted by law, we disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement. Our aggregate liability for any claim arising from these Terms is limited to the fees you paid us in the 12 months before the claim arose.
Neither party is liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, even if advised of the possibility. Some jurisdictions don't allow these limits — in that case, the limit is the maximum permitted by law.
9. Changes to these Terms
We may update these Terms from time to time. Material changes will be announced by email to workspace Owners at least 14 days before they take effect. Continuing to use the Service after that date means you accept the updated Terms. If you don't agree, you can cancel before the effective date.
10. Governing law
These Terms are governed by the laws of the jurisdiction where CrewBase is incorporated. Disputes will be resolved in the courts of that jurisdiction, unless local consumer protection law gives you a non-waivable right to bring a claim elsewhere.
